For many schools, even though students are on break and the daily routine has slowed down, June is a very busy time of year. Whether you’re wrapping up last school year or prepping for the next one, here are a few tips to make sure FACTS SIS is running smoothly.

Student Billing

June may be the time of year that your school ends or begins your fiscal year. During this time, it’s good to consider transferring any leftover or deferred balances to the next fiscal year. If your school uses the Student Billing feature of FACTS SIS, check out these processes in HubHelp: Fiscal Year Configuration and Deferred Balance Transfer.

You can also use the Accounting Error Check feature to identify payments and chargers that may be out of balance (and to see how you can fix them). You’ll also get a list of all charges and deferred money not attached to a fiscal year. We suggest running this check monthly – the longer these issues go unattended, the harder they are to track down and resolve. To learn more, see Accounting Error Check.

Improve the performance of your internet browser

When you use a browser like Google Chrome, Mozilla Firefox, or Microsoft Edge, it saves information from websites in its cache and cookies to improve the performance of the browser. Clearing them occasionally helps avoid certain problems like loading or formatting issues on sites. Some people like to clear them daily or weekly (others wait until something isn’t working right – no comment from some of our team members). Clearing your browsing history regularly can speed up your computer and help avoid problems using web-based applications. Use these links to see how to clear cache/cookies on your favorite browser:

Report Cards

Many schools find it beneficial to archive student report cards each term and semester. Archiving creates a document trail you can revisit if you have questions. It also provides a report card that matches exactly what the parents receive. If your school places grades onto the transcript each semester, archiving at semester’s end is a good practice.  This brief video provides the step-by-step process for archiving, emailing, and printing report cards.
