Jamaica Data Protection Act

As of December 1, 2023, the new Data Protection Act 2020 is in full effect. This means we are focusing on the privacy rules we follow and the roles of both us as your SIS provider and you as the school using the SIS. Please read below to understand the relevant details.

What You Need to Know

  1. Confidentiality: Your data is kept secure using the latest technology and backed up to several recovery sites.
  2. No Sharing: We do not share your confidential data with anyone else.
  3. Compliant: In full compliance with the Jamaican Data Protection Act and International Standard.
  1. Monitoring 24/7: Our system is monitored 24/7 for any issues, protects info, and keeps your school adhering to the highest level of cybersecurity. We are always scanning for issues and intrusions regularly.
  2. Encrypted Data: Your digital information is scrambled, making it useless to unauthorized people.
  3. Controlled Access: Only our authorized staff can operate in your system. They are monitored and tracked while working in the SIS. In 2024, we will be further adding extra security steps such as Multi-Factor Authentication for all users when accessing the SIS.

Being Ready for Anything:

  1. Disaster Recovery: We have established recovery plans and backups to get things back to normal in the event of emergencies.
  2. Infrastructure and Redundancy: We have additional data centers and plans to recover quickly in case of a disaster.
  3. Notifying You: If something occurs that might affect your data, we’ll disclose that to you.
  1. Assign a Data Protection Officer: Assign/employ a Data Protection Officer (DPO) to understand, guide, and deploy system policy at the local level.
  2. Protecting Access: Use strong passwords and do not share with anyone. Log out when you are not using the system and ensure no unauthorized person has access to the SIS when not in use.
  3. Online Safety: Be careful with free Wi-Fi and avoid using unsecured networks when using the SIS.
  4. Stay Updated: Keep your web browser updated for security.
  5. Be Vigilant: Watch out for scams and phishing emails.
  6. Establish Policy: Ensure your security groups in the SIS are enabled and assigned appropriately. Do not give a user more rights than is necessary for them. Monitor these groups and remember to disable accounts for users who are no longer at the school. Assign rights based on the level of access each user should have.
  7. Historical Records: Place all hardcopy historical records in the SIS so it can be governed by the security and access policies.
  8. Accounting Records: Utilize the features of student billing to bring your accounting operations digital. This will ensure data security for all users including the parents and their invoices and payments. This allows the school to share one central database to control access to contact details and demographic information based on the user’s access level.
  9. Additional Protection: Utilization of a VPN is an option and could provide additional security
